The Office Manager provides high quality office management including administrative and technology management, front office duties, operational support for in-office and remote work, and assistance for events, legal work and other projects. This position helps create a welcoming and organized office environment for visitors and community members, while ensuring staff have the support needed to work productively.

Responsibilities
Office operations and environment
- Each day, ensure the building – inside and out – is a safe, clean, and welcoming space for staff and visitors, both in appearance and functionally, regardless of the number of staff or visitors present on any given day.
- Coordinate the set up and functioning of computers and IT system for in-office and remote work and work with IT consultants to troubleshoot issues.
- Manage and maintain office equipment and inventory of supplies, including phone system, internet, copiers and computers, security system, and other equipment.
- Coordinate all vendors and contractors for office and building maintenance.
- Provide recommendations on office improvements to enhance operations, including collecting and analyzing competitive bids and products.
- Support staff with using and troubleshooting equipment remotely and in-office.
- Support other building-related special projects.
Community and front office engagement
- Greet visitors and serve as a host for guests and meeting attendees who come to the building.
- Answer and return phone calls and email inquiries.
- Direct callers to the appropriate staff member and/or to community resources.
- Maintain an up-to-date list of legal referrals and other social services resources.
- Accurately record contacts in database.
- Recommend process improvements for interactions with community.
Administrative Support
- Support in organizing and maintaining Operations Team and Administration and Management files, including hard copies of documents when required.
- Sort and distribute mail and occasionally assist with mailings.
- Record notes of all board, staff and other organizational meetings
- Assist program teams as needed with administrative and filing tasks.
- Provide time sensitive administrative support to staff.
Manage and assist with meetings, events, and logistics
- Organize office-wide events, employee meetings and social gatherings, and maintain and schedule events on the staff calendar.
- Manage logistics of board meetings, conferences/trainings, special meetings, and retreats.
- Assist staff with scheduling and event logistics for program or fundraising events, special projects or travel.
- Provide administrative support to program teams as needed in special projects or day to day work.
Personnel and financial functions support
- Maintain and monitor all services billed to the Office Manager credit card.
- Assist with certain auditor-approved financial controls for approving invoices, making deposits, maintaining petty cash accounts, etc.
- Assist with advertising for and recruitment of new staff.
- Manage administrative changes during staff transitions and orientation of new staff, including setting up workspaces and training staff on administrative processes.
- Provide quality assurance on vendors, softwares, and performance completion.
The Office Manager is directly responsible to the People & Operations Director. The typical salary range for this position is $49,845-65,000, commensurate with experience.
Required Qualifications
- In office presence approximately 90% of work hours. Comfort working independently in a quiet office, including periods with minimal or no other staff present.
- Strong commitment to advancing economic, social, and racial justice.
- Excellent organization skills.
- Experience with maintaining and keeping office equipment, computer systems, and building appliances and equipment in good working order and condition.
- Ability to plan and coordinate events.
- Very attentive to detail.
- Effective communications skills.
- Proficiency using common office technology and software (eg. word processing, databases, Google suite, Zoom, and online platforms) and the ability and willingness to learn new systems.
- Fluent in spoken Spanish.
- Ability to work autonomously and in a team environment.
- Use of an automobile and a driver’s license.
- Willingness to make a two-year commitment to organization.
Things to know about the job:
- Position is full-time, 40 hours per week. However, the organization may consider a regular part-time arrangement of 32 hours per week or more, subject to operational needs.
- Position is based in Albuquerque, NM and requires approximately 90% of work hours physically in the office, with the remaining percentage as remote work.
